Privacy Policy

Guiding Principle

The Baycrest Centre Foundation is committed to protecting donor privacy as well as the confidentiality of the personal information it holds. For that reason, the Foundation has taken a number of steps to ensure that this information is protected so that the relationship of trust between the donor and the Foundation is upheld. The Foundation is also bound by the Baycrest Privacy Code.

The Foundation’s Policy sets out rules for the collection, use, disclosure and retention of personal information. These rules are based on ten internationally recognized privacy principles.

Accountability for Personal Information

Baycrest’s Director, Privacy, Risk and Health Information (Director) works with the Foundation to assist, as necessary, with overall compliance with its Privacy Policy. The Director is the primary contact person for information privacy and security matters, and reports to Baycrest’s Vice-President, Information and Support Services. Baycrest has established a cross-departmental Privacy Committee that meets on an ongoing basis to discuss privacy issues as they occur. The Foundation’s Director of Finance is a member of this committee.

Identifying Purposes for the Collection of Personal Information

The Foundation makes available information about why it collects personal information directly from its donors and prospective donors. These include: for solicitation purposes; event registrations; and to keep donors informed of ongoing Foundation activities.

Obtaining Consent for the Collection, Use or Disclosure of Personal Information

The Foundation generally asks for individuals’ consent to collect, use or disclose their personal information, unless the law permits or requires otherwise. It also provides ongoing opportunities for individuals to opt out of any future solicitations by the Foundation.

Limiting Collection of Personal Information

The Foundation limits the collection of personal information to what it needs to fulfill the purposes it has identified to its donors and prospective donors. The Foundation collects personal health information only when it is volunteered by the donor, or as permitted by law.

Limiting Use, Disclosure, and Retention of Personal Information

The Foundation does not use or disclose personal information for purposes other than those for which it collected the information, except with the consent of the person or as permitted or required by law. It retains the information only as long as necessary to fulfill those purposes. The Foundation does not trade, rent or sell any personal information to third parties.

The Foundation’s web page contains online forms that allow visitors to make a donation. The personal information provided on these forms (such as credit card numbers) is used only to process these donations. Online donations to the Foundation are processed through a third party. The security and privacy policies of this third party are available by clicking on the “Security and Privacy Policy” icon on the online donation form.

Accuracy of Personal information

The Foundation takes steps to ensure that personal information is accurate, complete and as up-to-date as necessary for the purposes for which it is to be used. To change or modify any personal information previously provided to the Foundation, please call the Foundation directly at: 416-785-2500 ext. 2645.

Safeguards for Personal Information

Personal information is protected with security safeguards appropriate to the sensitivity of the information. All Foundation employees and directors are bound by Baycrest’s Confidentiality policies. All contract with independent contractors or vendors who may be privy to personal information as a result of the services they provide to the Foundation include a privacy agreement.

Openness Concerning Policies and Practices

The Foundation’s Privacy Policy is available to view on its web site at: http://www.baycrest.org/. Baycrest’s Privacy Code is also available at this webpage. A print version of the Foundation’s Privacy Policy can be requested directly from the Foundation by calling 416-785-2500 ext. 2645 or from the Director at 416-785-2500 ext. 3443.

Access and Correction

A person may request access to his or her personal information held by the Foundation, challenge its accuracy and completeness, and have it corrected as appropriate.
